FLYER DISTRIBUTION GUIDELINES PROCEDURES

Cumberland Valley School District recognizes the importance of a system to distribute flyers that is environmentally friendly and cost-effective; however, officials also value the importance of supporting youth community events. Therefore, at the request of parents and youth activity organizers, the district is working toward a revised flyer distribution guideline that meets both the needs of CV parents and of youth program organizers.

Effective May 20, 2010, organizations (including clubs and teams) have the option to distribute flyers through one of two methods: Electronic community bulletin board OR hardcopy distribution.

HARDCOPY DISTRIBUTION:
The following guidelines and criteria must be met in order to distribute flyers via hardcopy:

  • The organization (including clubs and teams) must be a not-for-profit, community-based organization, offering educational, cultural, or athletic programs designed for school-aged children.
    • Each organization is asked to limit the number of flyers to one flyer per event or set of registrations (e.g., one flyer to promote a summer camp, one flyer to announce a series of spring registrations, etc). 
    • All flyers for hardcopy distribution must include the following disclaimer: "Distribution of this material does not constitute endorsement by Cumberland Valley School District."
    • A copy of the flyer (PDF file preferred) must be submitted via email to Tracy Panzer at [email protected] for approval prior to distribution within schools. The email to request approval must indicate hardcopy distribution and include a contact name, telephone number, and school(s)/grade(s) in which the flyer would be distributed.
    • Organizations must allow a minimum of five school days for approval/denial to be received. Detailed or larger flyers may sometimes take up to 10 school days for review and approval/denial.
    • It is the responsibility of the organization to provide hardcopies of the flyer to each school in bundles of 30 flyers per classroom. Flyers that are not pre-bundled will not be accepted by schools.
    • Special instructions for distribution (e.g., "For distribution to fifth-grade only") must be clearly marked for office staff.
    • Organizations must allow at least five days from date of delivery of pre-bundled flyers for distribution to students.

ELECTRONIC DISTRIBUTION - COMMUNITY BULLETIN BOARD
For organizations wishing to minimize costs, time, and/or paper associated with printing flyers for hardcopy distribution, the electronic community bulletin board will remain in place. However, the bulletin board will be redesigned to provide ease of access to all flyers posted electronically. The following guidelines and criteria must be met in order to distribute flyers via community bulletin board:

  • The organization (including clubs and teams) must be a not-for-profit, community-based organization, offering educational, cultural, or athletic programs designed for school-aged children.
    • The flyer must be submitted, exactly as you would like it to appear, electronically to Tracy Panzer at [email protected]. The email to request approval must indicate electronic distribution and include a contact name, telephone number, and school(s) in which the flyer pertains.
    • The flyer will be reviewed and, if approved, posted to the online community bulletin board.
  • All organizations must allow a minimum of five days from the date of submission for the flyer to be approved and posted to the Web site. Detailed or larger flyers may sometimes take up to 10 school days for review and approval/denial.

Cumberland Valley School District reserves the right to refuse the distribution or posting of any information which is inappropriate for distribution to school-aged children. All organizations and all written materials to be posted or distributed must comply with Cumberland Valley School District Board Policy No. 913.
