Retracting Email in Groupwise

Have you ever sent an e-mail and forgot the attachment?
Have you ever sent an e-mail, but you realized that you needed to add another piece?

If you answered yes, then this is the tip for you. This week's tip will allow you to Retract an e-mail. You can retract any e-mail that is sent to people in the CV GroupWise system that is unopened. This feature will save you from having to send out another e-mail with the missed information.

Video Editing with Microsoft Movie Maker

Are you interested in video editing?
Do you have classroom video that you wish to spice up with text, audio, images, transitions, and special effects?
Are you looking for a unique video project to engage your students?

If you answered "yes" to any of these questions, this tip is for you!

Using Microsoft Movie Maker, you can import a wide variety of video, audio, and image formats. The free program (which is already installed on your district machine) allows you to customize your clips with transitions, special effects, and text overlays. When you are finished, your video may be viewed on your computer or it can be uploaded to your website as a podcast.

1. Hit the Ctrl, Alt, Delete keys simultaneously to bring up a menu of choices.

Switching Between Open Windows

Hold down the Alt key then click Tab
While still holding down the Alt key, click the Tab key to cycle through each open window.
When you get to the window that you want to have open, release the Alt and Tab keys.

Downloading a Video From United Streaming

Downloading Videos and Video Segments:

When you download a video or segment, you are making a copy of it on your laptop desktop. Videos and segments should NEVER be saved on your H-Drive.

Click on the Download icon next to the desired video segment.
Click Save.
Select your Desktop, Rename as desired, and Save.

Creating Hyperlinks to United Streaming Video

This week, we are sending a follow-up tip (by popular request) to show you how to create a direct hyperlink to a video hosted on United Streaming. The great part about this link is that the students do not have to be logged in to United Streaming to view the video. This link can be placed into PowerPoint presentations, Word Documents, Inspiration maps, and SMART Notebook files.

Creating Hyperlinks to United Streaming Video

1. Find the video or video clip that you wish to create a hyperlink to.

2. Click the Play Button for your selected video clip.

3. When the video begins playing, right-click the center of the video and select Properties.

4. In the Properties box, left-click and drag to highlight the location URL, then right-click and select Copy.

5. Open the document where you want to create the hyperlink (Word, Excel, PowerPoint, Inspiration, or SMART Notebook).

6. Right-click in the area where you want the link to appear and select Paste.

7. Save your document. When clicked, the hyperlink will now open up the video that you linked to.

Creating a Rule in GroupWise

This week's technology tip is to help you create a Rule in GroupWise. This tip will allow you to have e-mails go directly to folders in your Cabinet rather than your Inbox. For instance, if you keep the Monday Morning Tech Tips in a folder in your Cabinet, the new tips can go directly to the folder each week without ever entering your Inbox.

In addition to this week’s tech tip, you can download or print the tech tip “How to Create a Folder”. You should have a folder in your Cabinet so you can create a Rule.

Creating a Rule in GroupWise

1. Open up GroupWise.

2. Click on the Tools menu at the top of your screen,

and select the Rules option.

3. Select New from the Rules menu.

4. Type in the Rule Name. Check Received (or any of

the other options which apply to your situation). Check Mail

(or any of the other options which apply to your situation).

5. Click on Define Conditions.

6. Select the option that will include your entries. In

this case, select Subject.

7. Type in the name of the entry. In this case, type

Monday Morning Tech Tip. Then click Ok.

8. Click on Add Action, and select Move to Folder (or

any of the other options which apply to your situation).

9. Expand your Cabinet by clicking on the + . This is

to see all of your folders.

10. Check the folder you would like the e-mails to

automatically be placed. Then select Move.

11. Select Save. (You should see the folder you

selected in the window.)

12. Select Close. (You should see your Rule in the

window.)

13. Open your folder anytime your new mail has arrived.

It will automatically be placed in the folder you

selected, and an envelope will appear next to the

folder to signal new mail.

14. Select the new e-mail to read the latest edition of

the tech tips.

Copy Files and Folders to a CD

This week's tip will show you how to copy files and folders to a CD. This tip is helpful if you want to create backups of important files or if you want to archive older files. Please note, saving files to a CD can only be done if you have a computer with a CD-R or CD-RW drive. You will also need a blank recordable CD (CD-R or CD-RW).

Copy Files and Folders to a CD

1. Insert a blank recordable CD (CD-R or CD-RW) into your computer's CD drive.

2. Locate the files or folders that you wish to copy to the CD.

3. Select the files or folders by left-clicking on them. If you want to select multiple files or folders, hold down the control key (Ctrl) as you left-click on the files.

4. Right-click on any of the highlighted files and select Send to --> CD Drive.

5. You will see a dialog box indicating that the files are copying. Depending on the size of your files, it may take a few minutes.

6. Once the files have transferred, double left-click on the My Computer icon on your desktop. Double left-click on the CD Drive to view the transferred files. You may continue adding files until you run out of storage space on the disc.

7. When you are ready to finalize (or "burn") your disc, click on File --> Write these files to CD. This will open the CD Writing Wizard.

8. Give your CD an appropriate name in the space provided, then click Next.

9. You will see the status of the "burning" process in the CD Writing Wizard dialog box. Do not eject the disc or shut down your computer until this process is finished.

10. You will receive a message once the CD writing process has been completed. You can either check the box to make another copy or you can click Finish.

SMART Notebook - Screen Capture Tool

Have you ever had a background in SMART Notebook that you wish you could manipulate?

Have you ever needed a portion of an image from the gallery?

This week's tip will allow you to capture portions of images so that you can use what you need for your lesson.

Screen Capture Tool in SMART Notebook

The Screen Capture Tool (Camera) will allow you to manipulate graphics at a higher level.

You have four options using this tool. One of the options allows you to select all of the background or part of the background. In both cases you will have an image that can now be manipulated.

Using Teacher Pages Forms for Students Uploads

A few weeks ago, we shared a tech tip that showed you how to create an assignment drop box in your homework section of your teacher web page. This week, we will show you another option for students to submit assignments in a paperless fashion. By using the File Upload option with the Teacher Pages Form Feature, you can create an opportunity for your students to turn in any type of digital media. You can even set it up so the submissions will be sent to your email account directly from your website!

Packaging Media Files Together in PowerPoint 2007

Have you ever created a multimedia PowerPoint presentation on one computer, only to find out that your images, sound, or video would not work when you showed the presentation on another computer? The reason why this happens is because PowerPoint does not automatically embed the files directly into your presentation, it only creates a reference to where the files are located. When you save your presentation and open it on another computer, the program will try to find the referenced files. It will not be able to find them because they do not exist on that other computer. By using the Package for CD option, PowerPoint will place a copy of every file that is referenced in your presentation into a folder. This folder can then be burned to a CD, saved to a storage device, or zipped so that it can be uploaded to a webpage or sent via email.

Discovery Education's Puzzlemaker is "a puzzle generation tool for teachers, students and parents" that allows you to create word searches, criss-crosses, double puzzles, fallen phrases, math squares, mazes, letter tiles, cryptograms, number blocks, and hidden puzzles. Go to http://puzzlemaker.discoveryeducation.com/ and select the type of puzzle you want to create from the Puzzlemaker Online section. Then you can follow the directions and add your own vocabulary terms to create your customized puzzles. SMART Recorder

Setting Up a Podcast

Have Students Digitally Submit Work

This week, I will show you how to use the form feature of your School World Teacher Page to create a virtual "assignment drop box." Copyright and Fair Use

Many of you have recently completed the Copyright and Fair Use Moodle activity or have recently attended a Copyright and Fair Use workshop. After reading numerous discussion board posts, many of you offered great discussion topics and posed excellent questions. Several of you wanted to know where to find copyright posters for your classrooms, others wanted to know if we have any resources available for staff, students, and parents. For this week's technology tip, I want to share additional resources with you. Even if you did not participate in the Copyright and Fair Use professional development recently, this is always helpful information to review. Remember, not only is this designed to assist you in your understanding of the sometimes intimidating Copyright laws, it is also designed to provide you with the knowledge and tools to help students make proper choices in the digital world.

There are two resources that I would like to share with you. The first is a teaching resource provided by Education World that can help you understand Copyright, Fair Use, and our role as educators to promote these concepts with our students. I highly recommend setting aside a few minutes to read through this, it does a fantastic job of addressing many of the frequently asked questions from educators. The second resource that I would like to share is our Copyright and Fair Use electronic library of resources that is housed in our Intranest. This collection of materials electronic explain and clarify many important technology-related policies, guidelines, posters, and services. It even includes Copyright and Fair Use presentations that can be used with your students.

To access the Copyright and Fair Use resource on the Intranest, please follow these directions:

Log in to the Intranest at www.cvschools.org/intranest.
Click on the Tech Tools tab.
Click on the Copyright and AUP link in the left hand side navigation menu.
To download any of the files, right click on the link and select Save Target As. Save it to your desired location on your computer.
To simply view any of the PowerPoint shows, just left click and select Open.

Wordle is a free online application that allows you to create word clouds from text that you input. According to the Wordle's website (http://www.wordle.net/), the word clouds "give greater prominence to words that appear more frequently in the source text." You have full control of the output, which results in a visually appealing representation of your text. You can use Wordle to introduce new vocabulary, summarize key terms in a reading selection, stimulate creativity for a writing prompt, or to generate a visually creative word wall for your classroom.

One of the nice additions to Microsoft Office 2007 is the ability to create a PDF version of your document or presentation. The advantages of using PDF documents are that anyone can open the file (as long as they have the free version of Adobe Reader), the file size is usually smaller, and that the integrity of your document will be preserved. You can create a PDF of using Word, Excel, and PowerPoint.

Allowing Visitor Uploads to your Teacher Web Page

A few weeks ago, I shared a tip that showed two different ways that students can digitally submit assignments to you via your teacher web page. The first method involved using an assignment drop box in the advanced homework feature and the second method involved using the form feature. This week's tip will show you a third option of having students submit assignments to you in a digital fashion through your web page. This option allows students to upload directly to a specified web page. What makes this option unique is the fact that the files can then be made available on the website for other students to view. This is ideal if you want students to view, present, and critique each other's work.

This week, I want to show you Glogster. Glogster is Web 2.0 application that allows the students to create immersive and interactive posters using a variety of media. The free Basic EDU account allows teachers to create safe online classes for students to create their own Glog. Glogster is best defined by examples. This week, I would like to share with you a Web 2.0 site called Shelfari. Shelfari is a website designed for individuals who love books. It is a social networking site that allows you to "create a virtual shelf to show off your books, see what your friends are reading and discover new books" (www.shelfari.com). Shelfari allows you to create a piece of embeddable code which allows you to display your virtual book shelf on your School World Teach Page. If you enjoy books and want to encourage reading with your students, then this tip is for you!

Note: You need to establish a free account with Shelfari in order to create your virtual book shelf. This will allow students of all ages to view your book shelf as well as read reviews for that book. If you wish to encourage students to create accounts in order to participate in the social networking features of the website, be aware that Shelfari requires that users of this feature must be at least 13 years of age and need to have a valid email address. If you choose to use this feature as part of your curriculum, you must receive written parent permission.

Creating Surveys on your Teacher Web Page

Back in the fall, I shared with you a way to use the form feature on your teacher web page for students to submit assignments to you electronically. This week, I am going to show you how to use the same form feature to create a survey to gather data from your students, colleagues, or the community. Surveys are a great way to check for student understanding and gathering additional data to help guide your instruction. You can even use these surveys to create sign-up lists and to have parents schedule appointments with you for conferences!

Performance Tracker and Aesop

For this week's Technology Tip, I would like to share with you two important announcements. The first announcement describes an update that was conducted with the Performance Tracker Website. The second announcement is a reminder about the new automated substitute request system (Aesop) being implemented by our Human Resource department.

Performance Tracker Update

Performance Tracker has recently upgraded their website with a cosmetic overhaul. This update does not impact the functionality of the website, it only enhanced the visual appearance. As part of this update, you will be greeted with a message upon visiting their website. You will be prompted to access the site via a new web address (URL). After clicking on the new web address, you will need to log in with your username and password. It is highly recommended that you bookmark the new web address for easy access in the future.

Aesop Implementation

The Automated Substitute Placement program becomes effective this evening. Please make note of the following items:

· Aesop will become effective on Monday, March 8, 2010 at 12:00 p.m.

· Prior to implementation, you will be able to do the following

o Create your “Favorite Five” list

o Record your name and title on the Aesop Phone System by dialing 1-800-942-3767 (select option #5)

o Add your email address to your personal information enabling you to use the email function in the system (i.e. if you forget your PIN number, Aesop can email it to your email address listed in your personal information)

· Aesop will allow you to utilize the system up to a half hour prior to your reporting time. Absences occurring after that will need to be reported to your building secretary.

· Utilize the upload features to communicate with your substitutes (i.e. lesson plans, notes, etc.)

· Don’t forget to use the feedback option to rate your substitute experience.
